I thought I would put up a thread about different tips on using the computer that you thought were neat to share with others. I'm always thinking of ideas and having to share them with others at work to make things a little simpler. As I think of these ideas and tips, I will post them here. Please feel free to post up your own tips. It can be small, like hitting the Control + B in Microsoft Word to make a word bold.

Email Lists: Preventing everyone seeing other's email address
One way to prevent your customers from seeing everyone else's email address...and prevents wasting a lot of paper when they go to print the email and there's 2 pages of emails only....type them in the BCC file. On America Online, you click to write an email. Click on your Address Book. Select the name (or group). Click on "Send To" and click on Blind Copy. Then close out and get ready to send. Most email programs will have an option to send it BCC (Blind Carbon Copy). A CC is Carbon Copy so everyone still sees it. Don't forget to put your email address in the TO section so that you get a copy and it gets sent out to everyone.

Email Lists: Easiest Way to Send One Group Email
Now that I mentioned the tip above for sending BCC, you may realize that it will take a long time to go through your address book on email. The easiest way is to make a new group with a simple title "Customers" or "Employees" or something that fits your group. Don't forget to add new ones as you collect them!

Email Lists: Reading Emails/Typing Emails
I was ask the other day was it worth having "stationary" with fancy backgrounds, smiley faces, etc in the email. You really want to give the information in the least confusing way possible. If they are printing out the email or on dialup, it make take longer to open your email and they may just close it and delete it. You can compose your emails by Plain Text. Everyone has a different email client, but in Plain Text your emails can be seen by all. If you do need to Bold something in different sections, that should be okay to do. Don't forget to put your contact information, website, and to forward the email to a friend and how to get on the email list!

I just have to say that I was re-reading these tips, as I am really working on a business plan and a "real business" for our farm. THANK YOU! That is so generous to give information and offer technological help. I'm sure I'll have some questions pop up, but for now, it is so reassuring to know that there are farmgirls out there who KNOW WHAT THEY ARE DOING on the computer! I'm learning. I love it and am pretty comfortable, but some of the more specific information on e-mail lists was very new and helpful.

Newsletters/Flyers
Once your farm business gets more popular, now is the time to think about having a small quarterly newsletter and think of flyers for different sales promotions. If you have Microsoft Word or Publisher, or any program that has templates, feel free to use them or make one of your own. Add photos because it brings pazzazz to it and keep it short. Have recipes, ideas, and tips in the newsletter. On flyers, if you have business directly on the farm, have directions so that they can find it easy. A map is also very handy! If you have a website, post your newsletter and flyers up there for all to see. Find out if someone has the capabilities of making your newsletter to a PDF (I have the software and can do it in 5 minutes) so that when someone sees your newsletter online, they don't have to wait a long time due to graphics, etc.

Organizing Your Files with Folders
Keep up with farm activities or just your general computer files by utilizing your folders. To make a new folder, all you have to do is right click and click on "New Folder". Be sure to name your folder to the topic you specifically want in the folder, like "Farm Photos". Then drag by holding left mouse button and "drag" it to the My Documents Folder.

Digital Cameras on the Farm
Using photography to show the seasons on the farm is an excellent way to journalize the good times and bad of your crops and animals. If you have a bad photo, all you do is delete it. That helps prevent wasted paper and chemicals used in developing photos. Use the photos in your newsletters, websites, blogs, brochures, flyers, or even as a scrapbook to display at your Farmer's Market booths. Be sure to capture children on the farm, special moments, and closeup of your crops, even if it is a simple red delicious tomato. Don't forget to use rechargeable batteries and get a memory card (cheaper to buy a 512 mb than several of the smaller mb memory cards). You can transfer the photos to a cd or to your computer (just watch your memory).
